All of our client relationships start with a foundation of transparency and care beginning with booking an introductory call (https://calendly.com/cherryyang/initial-consultation). We want to give you an inside look at what to expect as you begin to explore a new partnership with our team at Claribase.
Step 1: Initial Consultation
Almost every project begins with a 30-minute virtual consultation with our team. You may be speaking with Cherry Yang, our founder, or one of our most experienced developers. Our team has supported a wide range of client projects across industries and use cases. With this wealth of experience, we might just be the perfect partner to help you implement Airtable.
To get the most out of this initial discussion, we normally cover the following in our first meeting:
- Introductions for everyone in the room
- What are the key goals for this project
- What is the value for you in doing this project? Is it revenue-focused, time saved, accuracy, or something else?
- Are there high-priority items that are especially time-sensitive?
- What timeline do you have in mind for development?
- What is your estimated budget?
- Reference materials for your current systems (e.g., Airtable, spreadsheets, Monday.com). If time permits and you’re comfortable, we may review them together over screenshare.
Please note that the purpose of the initial consultation is not to provide technical support on how to use Airtable features, but rather to explore how we can collaborate on a project together.
Lastly, it’s helpful for all key stakeholders to be present for this discussion.
Step 2: The Proposal
During the initial consultation, we’ll also discuss support options relevant to your goals. After the meeting, we’ll create a project estimate summarizing our conversation, the project scope, and a rough time and budget estimate.
Our goal is to send out the estimate within 1-3 business days. In some cases, a second meeting may be needed to finalize details and create a more accurate estimate.
The two types of engagements we offer are:
- Coaching Packages: A 5- or 10-hour prepaid package ideal for clients with smaller projects who want to build their system with some guidance.
- Project Engagements: For larger, more complex builds, typically broken into three distinct phases: Discovery, Implementation, and Support.
Step 3: Reflect and Compare Options
Once you receive your estimate, we don’t expect an immediate response. Most clients take 1 – 2 weeks to reflect, compare proposals, and evaluate the right fit. You can also ask follow-up questions during this time and we can adjust our approach if your needs change.
Step 4: Paperwork and Contracts
Once you decide to work with Claribase, we’ll send you a formal Statement of Work and contract typically within 1-2 business days. This outlines the scope of your project or support engagement in greater detail.
It formalizes expectations, confirms your project team, outlines deliverables for each phase (Discovery, Implementation, Support), and includes a timeline. Once the contract is signed, we are ready to confirm a start date, introduce the project team, and begin working on your project!
Step 5: Starting Your Project
Now for the exciting part – we start building!
Every project begins with an official kickoff meeting where you’ll meet your assigned development team. From there, we’ll start some version of our Discovery process to dig into the nuances of your challenges and goals.
This might include workshops, stakeholder interviews, or deep dives into your workflows. Your team may request access to assets like Airtable bases or datasets to begin building.
Let’s Chat
These buying cycle timelines are approximate and will depend on each client. We’ve seen projects go from a first meeting to a signed contract in just a week or take months, as clients refine their needs.
What’s most important is that you take time to understand a consultancy’s process, and that they do the same in return. Being on the same page early on reduces the risk of surprises and sets the stage for a strong, collaborative relationship.
It also positions both you and your consultancy for better results and a smoother experience.
Sound like a good fit? We’d love to start a conversation about Airtable.
